During your stay in Austria

Please note: The information on this page applies exclusively to OeAD scholars.

If you do not receive a scholarship by the OeAD you will find useful information here.

Your first point of contact in Austria is your Regional Office. You can find the contact details in your Letter of Award. The Regional Offices support OeAD scholarship holders during their stay in Austria and facilitate their social integration by offering networking and cultural events. This checklist will be helpful after your arrival in Austria.

In our so-called ‘Welcome Meeting’ (your initial visit) at the beginning of your stay, we will welcome you personally at the OeAD Regional Office and provide valuable information to help you navigate your study/research stay and any bureaucratic tasks. We will also inform you of the scholarship conditions, how you will receive your scholarship instalments, and what your responsibilities are as a scholar.

Please book your slot for the welcome meeting online before your departure to Austria. You can find the booking portal on the website of the OeAD Regional Office that is responsible for your region.

Also note the following points if your arrival to Austria is delayed.

The first scholarship instalment

After arriving in Austria you have to visit the responsible Regional Office within three working days upon appointment. The first scholarship instalment will be paid to you either by cheque* or bank transfer (to SEPA accounts only).

In order to receive the first scholarship instalment, you have to prove your identity (passport or identity card), provide proof of a health and accident insurance that is recognised by the Austrian authorities, show the Meldezettel (registration of place of residence) and your visa (only for nationals from third countries).

If you arrive after the 15th of your first scholarship month, you will only receive half of the scholarship instalment for that month.

The following scholarship instalments

While receiving a scholarship, you have to be present at your place of study/research. Please see our attendance policy in our FAQs.

If you have an Austrian bank account or a bank account from a SEPA member country, the scholarship will be transferred to your account between the 1st and the 5th of the month. Please notify the Regional Office of any changes to your account details via our online portal STIP-Online.

If you do not have a SEPA bank account, the scholarship will be paid out by cheque. You can book an appointment to collect your monthly cheque on the respective website of the responsible Regional Office.

*The cheque has to be cashed within the period of validity of 5 days at a branch of the Bank Austria.

Accommodation organised by the OeAD student housing

The key can only be picked up during the office hours in the responsible OeAD student housing (written in your residence contract). The OeAD student housing are closed on Saturday, Sunday and on public holidays! Therefore you can only move in and move out during the office hours on working days. If you have any questions regarding your accommodation please contact the OeAD student housing directly .

Residence of another accommodation provider

We intend to accommodate OeAD scholarship holders in an accommodation organised by the OeAD student housing. For that reason we cannot offer any support to book an accommodation from another provider.

Anyone residing in Austria is legally required to register their place of residence with the registration authority (Meldebehörde). After your arrival in Austria you have to register within three working days (regardless of the duration of your stay).

Registration deadlines:
Registration: within 3 days after moving in
Change of name or nationality: within one month

Required documents:

The residence registration form must be signed both by your landlady/landlord and by you. If you have booked accommodation with OeAD student housing, you will receive the registration form upon moving in.

Fees:
Residence registration procedures are generelly free of charge. However, if you present a foreign document (e.g. travel document) for the first time, the following fees will apply:

  • passport: federal fee of EUR 42
  • other documents: federal fee of EUR 21 per sheet

If you have previously paid a fee for submitting any of these documents to an Austrian authority, please keep and present the payment confirmation.

If you hold more than one nationality you have to submit all documents showing your surname, first name, maiden name, date of birth, place of birth, nationality and academic degree.

Upon presentation of a valid identity card or passport and the registration form you will receive a confirmation of your registration. Please inform the responsible Regional Office of your registered address in Austria and any later changes to your address!

EU, EEA and Switzerland

If you are going to stay in Austria for more than three months you have to register with the competent residence authority (Magistrat, Bezirkshauptmannschaft) within four months of your stay and you will receive a confirmation of registration.

Nationals of third countries

Initial application

In principle the application for the residence title has to be done at the competent Austrian embassy in the country of residence. Alternatively, the application can be done at the competent residence authority (Magistrat, Bezirkshauptmannschaft) in Austria during the visa-free stay. Further information can be found here.

Renewal of your residence Permit

You have to apply for an extension before the original permit expires.

You will find the address of the competent residence authority on the website of your Regional Office.

Events during your stay in Austria can be found here. Your responsible Regional Office will be glad to inform you about excursions/events at your study/research place.

Any absence from your place of study/research of more than a week (due to study/research purposes or for private reasons) has to be confirmed beforehand by your academic supervisor and you are expected to inform the responsible Regional Office. This also applies during lecture-free periods.

Absences of more than 14 days will be reported to your Programme Officer at OeAD and your scholarship rate might get reduced for that month.
